CRM MIGRATION / BUSINESS CONTINUITY
The client's HubSpot access was ending. We had to rebuild the CRM, automation, integrations, support, and team handoff without losing what the business depended on.
Source contacts detected by migration utility—not a verified total of successfully migrated contacts.
Sebastien’s contribution: Growth Stack led the migration strategy, CRM rebuild, automation transfer, integration recovery, documentation, and handoff. Migration window: Jan. 20 to Mar. 1, 2026.
01 / THE SITUATION
HubSpot access was ending on March 1. The business still depended on its CRM, automation, integrations, support, and documented processes to keep operating.
That created a 40-day window to understand what existed, decide what actually needed to survive, and rebuild it before the cutoff.
THE DOCUMENTED WINDOW
Jan. 20, 2026
Project work begins.
Feb. 20, 2026
Replacement documented.
Feb. 23, 2026
Core delivery approved.
Mar. 1, 2026
HubSpot access ends.
Later stabilization is separate from pre-shutdown delivery.
02 / THE STAKES
The CRM sat underneath customer data, automation, integrations, support, and everyday team workflows.
Lose the wrong thing and the business could lose more than records. It could lose the processes people relied on to work.
03 / THE DECISION
Copying everything would preserve the old system’s problems. Rebuilding too little would leave the team without what it needed. So we separated what should be kept, rebuilt, recreated, or retired before moving it into the new environment.
Useful data and working history.
The workflows the business still needed.
What the replacement system handled differently.
What no longer earned its place.
04 / THE MIGRATION SYSTEM
The migration had to preserve more than records. It had to reconnect the CRM, automation, integrations, support, and team workflows around them.
05 / KNOW WHAT THE NEW SYSTEM NEEDS TO REMEMBER
We mapped the fields, workflows, histories, support paths, and operating rules the replacement system needed to preserve.
275,691 source contacts were detected by the migration utility. That is a source inventory—not a verified total of successfully migrated contacts.

Tracker-counted field mapping.
06 / MIGRATION SCALE
100+ automations migrated across a 40-day replacement window.
Source contacts detected by migration utility. Automation count confirmed by project lead.
07 / RECOVER IN CONTROLLED STEPS
A migration this large could not rely on one irreversible transfer. The process needed checkpoints, verification, and a recovery path if something did not map correctly.
Step 1 of 6: See the migration scope.
08 / THE WORK BEHIND THE SYSTEM
The migration left behind more than a working account. Field maps, automation documentation, support guidance, and team handoff materials made the new system understandable after launch.
01 / FIELD MAP
53 contact, 13 opportunity, and 53 company fields mapped before the new workflows relied on them.
02 / AUTOMATION INVENTORY
100+ automations sorted across onboarding, outreach, sales, nurture, support, and internal ops.
03 / MIGRATION & VERIFICATION VIEW
Staged batches with destination checks, note backfill, and step-level retry—no single irreversible transfer.
04 / HANDOFF DOCUMENTATION
A 13-tab operating guide, Loom walkthroughs, and role guidance so the team could run the new system.
53 contact fields, 13 opportunity fields, and 53 company fields were mapped before the new workflows relied on them.
70 mapped workflow rows representing 64 unique workflow links. 75 lists. ~240 HubSpot automations at discovery.
09 / LEAVE THE TEAM MORE THAN A NEW LOGIN
The team still needed to understand what moved, how the new system worked, what changed, and where to go when something broke.
Documentation explains the new system.
The team knows how the core workflows work.
Support and troubleshooting paths remain visible.
A 13-tab operating guide, Loom walkthroughs, and role guidance documented the handoff.
10 / DELIVERED BEFORE THE DEADLINE
between core approval and the client's HubSpot access ending.
Core replacement was approved Feb. 23. HubSpot access ended Mar. 1.
This milestone does not claim every source contact completed migration or that all later stabilization was finished before shutdown.
CLIENT PERSPECTIVE
5.0 / 5 · Client review
“Sebastien was instrumental in our migration from Hubspot to Go High Level. He's great to work with, got our business workflows and requirements, and presented creative workaround solutions when the two systems were didn't map 1 to 1. Highly recommend!”
Before HubSpot access ended, Locl had a rebuilt replacement across CRM data, automation, integrations, support, documentation, and team handoff.
The result was not simply a new platform. It was a business that could keep operating after the old one disappeared.
WHAT ACTUALLY MATTERED
Moving records was only one part of the job. The real work was preserving the systems, knowledge, and operating paths the team needed after HubSpot was gone.
What is it like to work with us?
